Reporting to the Senior Manager - Communities, the Office Administrator is responsible for providing administrative support for the Blackwater Mine Community Office, as well as supporting regulatory and community outreach efforts. A strong commitment to safety and environmental stewardship is essential for success in this role. This role is based in Vanderhoof.

Responsibilities

  • Responsible for day-to-day duties required of the Community Office including ensuring the office is well-maintained and stocked with necessary supplies.
  • Act as the initial point of contact for the community office for in-person, telephone, and email communication, adhering to approved messaging for all engagements
  • Coordinate cleaning services, maintenance providers and other vendors
  • Assist with tracking receipts and invoices and preparing monthly credit card requisitions
  • Monitor office expenses and assist with departmental budgets
  • Receive sponsorship applications, communicate with applicants and administer the distribution of funds through the Blackwater Mine social investment program
  • Maintain hardcopy and electronic files, including SharePoint site for community and stakeholder records.
  • Coordinate the community office’s shipping and receiving activities
  • Provide administrative and other support as needed for the community office, the Community Relations, Indigenous Relations, Environment, and Communications teams
  • Maintain vehicle records, including maintenance, inspections, and repairs
  • Support recruitment activities by collecting resumes.
  • Assist with distributing stakeholder communications and other communication materials, including mail outs
  • Support the maintenance of email and stakeholder contacts lists
  • Assist with a variety of community events, including open houses, career fairs, trade shows etc.
  • Act as the Secretariat for the Community Liaison Committee
  • Schedule meetings, take meeting notes, book travel and other administrative duties as needed
  • Manage inventory of administrative and promotional materials
  • Support community relations stakeholder record tracking in Isometrix
  • Monitor the general email accounts for several departments
  • Other duties as assigned

Qualifications

  • Diploma or certificate in office or business administration i.e. Applied Business Technology (ABT) program
  • A minimum of 5 years’ experience in administration, office management or community relations
  • Excellent verbal and written communication skills
  • Excellent organizational skills and ability to set priorities
  • Experience in planning, coordinating, and supporting public events
  • Ability to work effectively and professionally with the public
  • Ability to work independently and as a member of the team
  • Strong computer skills, including MS Office programs (MS Word, Excel, PowerPoint, OneNote, and MS Teams)
  • Experience with stakeholder tracking software such as Isometrix or Staketracker is an asset
  • Ability to maintain confidentiality and privacy requirements
  • Knowledge of communities in the mine region- Burns Lake, Fraser Lake, Vanderhoof, Fort St. James, Prince George, and Quesnel- considered an asset.
  • Knowledge of the mining industry considered an asset.
