Reporting to the VP – Engineering Services, Major Projects, the Administrator – Engineering Services provides administrative and coordination support to the Engineering and Commercial teams and project stakeholders. This role is responsible for supporting day-to-day office operations, coordinating meetings and project documentation, maintaining records, preparing reports and presentations, and assisting with project administration activities. The Administrator – Engineering Services plays a key role in ensuring information is organized, accurate, and readily available to support the successful execution of major projects.

 

Schedule: Monday to Friday 

 

Employment Type: Fixed Term 

 

Contract Term: 12-14 Months 

 

Responsibilities

• Demonstrate effective safety leadership by supporting BW Gold's safety standards, procedures, and systems.
• Provide administrative support to the Engineering and Commercial teams.
• Coordinate meetings, prepare agendas, record minutes, and track action items.
• Maintain project records, files, and documentation in accordance with established document control processes.
• Assist with the preparation, formatting, and distribution of reports, presentations, correspondence, and project deliverables.
• Coordinate travel, accommodations, and meeting logistics for team members as required.
• Assist with purchase requisitions, invoice processing, and expense administration.
• Monitor and follow up on action items, deliverables, and deadlines.
• Provide general office administration support and contribute to the efficient operation of the Toronto office.

Qualifications

• Diploma, certificate, or post-secondary education in Business Administration, Office Administration, Project Administration, or a related field.
• 3 to 5 years of administrative experience supporting engineering, construction, mining, or project-based teams.
• Experience coordinating meetings, managing documentation, and maintaining records.
• Experience working in a professional office environment supporting multiple stakeholders.
• Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
• Experience with document management systems is considered an asset.
• Strong written and verbal communication skills.
